How to Set Up Your info.accusourcehr.comhs-fshubfsbrandingAccuSourceHR TM - Medium Integration with bambooHR

 

Connecting AccuSourceHR to BambooHR is quick and seamless. With just a few steps, your team will be able to initiate and track background screenings directly within your BambooHR workflow. The integration is already built and only requires activation. 

Installation Steps

Step 1: Determine Your BambooHR Subdomian

Locate your BambooHR subdomain from your login URL (e.g., https://yourcompany.bamboohr.com). This is the unique identifier AccuSourceHR will need to set up the integration.

 

Step 2: Create an API User

This step allows communication between BambooHR and AccuSourceHR

  1. Go to the People
  2. Click New Employee and name the user something like “AccuSourceHR Integration.”
  3. Use a valid email address (this is just for initial password setup).
  4. Enable Allow Access to BambooHR.
  5. Click Save.
  6. Go to Settings for that user and select Reset User’s Password.
  7. Follow the email instructions to set up the password.

Important: Save the password temporarily. You'll need it during setup, but you can discard it afterward.

 

Step 3: Create a New Access Level

This limits the API user’s access to only what’s necessary.

  1. Go to Settings Access LevelsAdd.
  2. Choose Custom Access Level.
  3. Name it something like “AccuSourceHR Integration.”
  4. Click Next Step, then under Hiring, check Manage Job Openings and Candidates.
  5. Click Next Step, then Save & Finish.
 
Step 4: Assign Access Level to API User
  1. Go to People and select the API user you created.
  2. Click Settings BambooHR Access Level.
  3. Assign the custom access level you just created.
 
Step 5: Add New Candidate Statutes

These statuses will trigger background checks and track progress.

  1. Go to SettingsHiring Candidate Statuses.
  2. Under “Active Statuses,” click +Add Status and enter the following (repeat for each):
    1. Background Check Required
    2. Background Check In-Process
    3. Background Check Error
    4. Background Check Completed
    5. Background Check Canceled
 
Step 6: AccuSourceHR Configuration

Once all of the above is complete, AccuSourceHR will finalize the integration from their end using the details you provided.

 
Step 7: Grant AccuSourceHR Access

AccuSourceHR will send you a secure authorization link.

  1. Follow the link.
  2. Enter the API user credentials you created earlier.
  3. Click Log In.
  4. You’ll see a success message once access is granted.

You can now delete the API user’s password from your records.

 
Step 8: Create a Test Job and Candidate

Use this step to verify the integration is working properly.

  1. Go to Hiring Add Job Opening.
  2. Set the Posting Title to match an existing background check package name in InstaScreen.
  3. Set the Job Status to Open.
  4. Click Save Job Opening.
  5. Click New Candidate, then enter:
    1. First Name
    2. Last Name
    3. Email Address
  6. Click Save.

The Posting Title is BambooHR is what AccuSourceHR uses to match the background check package in InstaScreen.

 
Step 9: Submit the Test Order
  1. Set the candidate’s status to Background Check Required.
  2. Within 15-minutes, the order will be picked up by AccuSourceHR.
  3. Status will auto-update as the check progresses.
  4. Once completed, a report link will appear in the candidate’s Notes

Additional Notes

Background Package Name Limitation

There is no dedicated field in BambooHR to specify the package name. Instead, AccuSourceHR uses the Posting Title from each job.

Make sure the Posting Title in BambooHR is also configured as a package name in InstaScreen.

 
Child Account Ordering (Optional)

BambooHR can support child account ordering by mapping the job’s Department field to a child account name or code, whichever your team prefers.
